Access analytics and reports

Find the Analytics dashboard, what each number and column means, and how to filter sessions or mark them complete.

Each experience has a live analytics dashboard with data and insights from its sessions. Preview sessions don't appear in the Analytics dashboard.

Open the dashboard

You can open Analytics in two ways:

  • From the main navigation: click Analytics.

  • From an experience: next to Preview, click Analytics. The dashboard opens with only that experience selected, other filters cleared and the date range set to the last month. The button appears after you publish the experience.

To use Analytics, you need the Analytics role. An administrator can give it to you on the Manage team tab in Organisation settings. For more information, see Organization and team settings.

Session analytics

Session overview

The Sessions block shows:

  • Completed: the number of sessions that learners have completed. An exported report only includes completed sessions.

  • Started sessions: the number of sessions that have started, whether or not they were completed.

  • Sessions on hold: the number of sessions that are paused. Learners can resume these sessions later.

Session table

The session table lists the sessions that have started or completed in the date range. It doesn't show preview sessions. To see more about a session, click its row. The details include the learners' names and email addresses, the session's duration and, if the session can be resumed, a link to resume it.

The table has these columns:

  • ID: a unique identifier for the session.

  • Client: the client the session belongs to. This column only appears if your organization is an External Learning Provider (ELP).

  • Region: the region the host chose for the session. This column only appears if your organization uses custom regions.

  • Experience: the experience the session is for.

  • Status: where the session is in its lifecycle, usually Active and then Complete. A session that's still active after 30 days is marked DNF (did not finish).

  • Progress: the section and activity the group is on. This column only appears when you filter by Active or On hold. An em dash (—) means the session's progress hasn't been recorded yet, not that something went wrong.

  • Host email: the email address the host used to start the session.

  • Participants: the number of learners in the session.

  • Started: the date and time the session started.

  • Ended: the date and time the session was completed.

Mark a session as complete

You can mark a session as complete even if the group didn't finish every activity, such as when a session was interrupted or ended early. You can do this for any Active, DNF or On hold session.

To mark one session as complete, click its row, click Mark session as complete, and then click Yes, complete.

To mark several sessions as complete at once:

  1. In the filters, under Status, select Active, On hold or both, and no other status.

  2. Select the rows you want to complete. A toolbar shows how many you've selected, with Clear and Mark as complete.

  3. Click Mark as complete.

  4. To confirm, click Mark complete. You can't undo this.

You can mark up to 25 sessions as complete at once. Your selection is cleared when you change a filter or go to another page.

Resume a session

You can resume any session that's Active or On hold. Each session has its own resume link. To copy it, click the session's row, and then, next to Resume URL, click Copy link to resume the session.

Learner analytics

The Participants block only counts completed sessions. It shows:

  • Participants Completed: the number of learners who completed a session.

  • Avg participants per session: the average number of learners in a completed session.

  • Remote participants: the percentage of learners who joined on a video call, rather than in a meeting room.

Insights

The Insights block only counts completed sessions. It shows:

  • Engagement: the percentage of activities learners completed. If a learner skips an activity, takes a break or is removed from a session, the engagement score goes down.

  • Median completion time: the median time learners take to complete a session, shown as HH:MM.

  • Most selected avatar: the avatar learners chose most often when they started the experience.

Filters

If you don't choose a date range, the dashboard and exported data show the current month to date for all experiences. You can filter by:

  • Date range: only sessions that started within a range. You can choose a relative range, such as the last 7 days, or fixed dates.

  • Experience: one or more experiences. When you type a title, matching projects expand, and experiences are listed newest first within each project. By default, all experiences are included.

  • Status: where sessions are in their lifecycle: Active, On hold, Complete or DNF (did not finish).

  • Client: one or more clients, if your organization is an ELP.

  • Region: one or more regions, if your organization uses custom regions.

Filter pills

Each filter you apply appears as a pill on the dashboard, so you can see what's in view. To remove a filter, click × on its pill. To remove them all, click Clear all.

  • The date pill only appears when the date range isn't the default.

  • If you select more than three experiences in the same project, their pills combine into one pill for the project.

Saved searches

If you load a saved search and then change a filter, the Saved search list changes to None selected. This shows you're no longer looking at the saved view. To keep your changes, save them as a new search. For more information, see Saved searches and scheduled reports.
