Organization and team settings

Update your organization's name, logo and theme, and manage team members, their roles and their project access.

If you're an administrator, you can change settings for your whole organization, rather than for one experience. Click Organisation at the top of the screen, or open your profile menu and click Organisation settings.

Organization name

This is set for you, but you can change it at any time.

Branding

If you want your experiences to feel like your own, change the logo and default theme.

  • Change logo: Our recommendation is to use a transparent SVG or PNG that is at least 50px tall. While square logos will work, we recommend using your organization's horizontal logo (for example, 250px wide by 50px tall).

  • Theme: Choose Default theme, Dark theme or Light theme. The default is blue, and the dark and light themes suit most logo colors. A white logo on a transparent background works well with the dark or default theme. A logo made for a white background works best with the light theme.

Additional participant information

This field asks learners one extra question when they join, so you can break down your data. For example, many organizations ask for a business unit. It's off by default. If you fill it in, learners have to choose an option when they join.

Enter the question's label and its options, with a comma between each option.

Note: This field is on the Enterprise plan. On the Growth plan, you can see it but not change it.

Other settings

Contact us if you need any of these for your organization:

  • A restricted domain, so only people with your email domain can join (Enterprise)

  • Custom regions

  • Your own privacy notice (Enterprise)

External Learning Providers can change these themselves. See Settings for External Learning Providers.

Projects

Projects organize your experiences and control who can see them. Every organization starts with an All access project. To create more, click Create a new project on the Your Experiences page.

What you can do with projects

  • Create new projects to group related experiences together

  • Assign custom icons and colors to help identify projects visually

  • Add team members to specific projects with appropriate permissions

  • Control access so team members only see relevant experiences

Manage team

To manage your team members, click the Manage team tab.

You can see who's an active member of your team and who's been invited. You can manage both organization-level roles and project-specific access for each team member.

Roles

Organization roles:

  • Administrator: Full access to organization settings and all projects

  • Editor: Can create and edit experiences, can be assigned to specific projects

  • Analytics: Can view analytics and reports, limited to viewer access on projects

Project access:

  • Editor: Full editing access to experiences in the project

  • Viewer: Read-only access to experiences in the project

  • No access: Cannot see or access the project

Change a team member's access

Click ••• next to a team member, and then click:

  • Edit user: Change their organization roles and project access

  • Delete team member: Remove them from your organization

Edit a user

With Edit user, you can:

  • Set organization roles: Administrator, Editor or Analytics

  • Set project access: For each project, choose Editor, Viewer or No access

Administrators get Editor access to every project automatically.

Important: Users must have the Editor organization role to be assigned as Editor on individual projects. Analytics users can only have Viewer access to projects.

Inviting members

Click Invite members to invite more of your team to Makeshapes.

  • Enter their details: First name, last name, and email address

  • Select organization roles: Choose what they can do across the organization, such as Admin

  • Project access: Their project access will be managed separately after they join

New team members will receive an email invitation to set up their account and can then be assigned to specific projects as needed.

Multi-factor authentication

Multi-factor authentication (MFA) adds a second check when your team signs in, which protects your organization's data. We recommend it for everyone.

  • Each team member can set up MFA on their own profile, with an authenticator app such as Microsoft Authenticator, their phone or email.

  • To make MFA mandatory for your whole team, contact us. Once it's on, the Manage team tab says "Two-factor authentication is enforced by your organisation policy."

Tips for managing your team

  • Use appropriate roles: Only give Editor access to team members who need to create or modify experiences

  • Organize by projects: Assign team members only to projects they need to access

  • Regular review: Periodically review team member access and remove inactive users

  • Clear communication: Let team members know which projects they have access to and their role
