Helpful tips as a host

We know being a host can be stressful, particularly if it's your first time. In addition to our getting started guides that you can find here, see below for a myriad of tips that we've gathered from delivering to groups around the world.

Test run

If you are new to any of the technology involved it can be useful to do a test run before the actual session. You can learn more about the test run here.

Setup time

Be sure to set aside some time to get setup before the session starts. You can have the registration page open and ready to go when guests arrive. The registration page has background music that can help set the tone of the experience.

Water and snacks

If meeting in person, it can be good to have water available, maybe even a few snacks. Also consider meeting in a space where people are facing each other, as opposed to a screen.

Keyboard shortcuts and host controls help you manage the session.

Take a break

Reinforce the fact that participants can take a break any time by clicking ‘take a break’ in the top corner of your screen.

Be inclusive

Do your best to support everyone having the opportunity to share in discussions. If in-person with a large group it can be useful to break into smaller groups. If closed captions are available in your session, ask the group if that is their preference.

Technical issues

If the something doesn't look right, try just refresh the page. This may reset the activity for all participants, but you will not lose your place in the session. You can learn more when things go wrong here.

Knowing where you are in the session

While we recommend hosts to run through an experience beforehand to understand the agenda and gain confidence with the platform, we know it can be stressful in the moment. That's why we have built waypoints to help hosts keep track in the moment.

  • Be sure to use the agenda summary on the left hand side of the screen. At a glance you can see how many sections you have completed, and your position in the overall experience.

  • During an activity, you can look at the dots in the bottom left corner of the screen to see the number of activities completed and remaining in the section of the experience.
